EOI - Hockey WA Official Online Turf Booking Provider

Introduction

Hockey WA is the State Sporting Organization (SSO) responsible for the sport of field hockey in the state of Western Australia.

The SSO is based at Perth Hockey Stadium at Curtin University. Hockey WA and Perth Hockey Stadium have long been viewed as the home of hockey in Western Australia.

Currently Perth Hockey Stadium play host to the national Hockey One League, the national Men's and Womens High performance Programs (Kookaburras and Hockeyroos), the Thundersticks, U13-U18 state age-group teams and the Premier League men's and women's competitions.

With two premium playing surfaces, ever-improving athlete facilities, corporate venue and catering facilities, a venue capacity of 6000 and conveniently located in the heart of Western Australia’s biggest city, Perth Hockey Stadium is one of the world’s best hockey facilities and is widely recognised as the home of hockey.

Hockey WA is seeking EOIs for a professional, online booking system for our two premier turf playing surfaces from December 31 2022.

While competitive cost is a factor that will be considered, Hockey WA encourages companies with a proven history of providing a reliable online booking system in an elite sporting environment, to submit EOI.  Please provide current evidence of ability to meet Hockey WA’s requirements listed above by the submission date of 30 November 2022.

If successful the company that wins the right to provide this online booking service for 12 months must provide full training to Hockey WA staff  and provide on-site support.

Hockey WA Booking Requirements

Hockey WA requires that the companies wishing to supply the new online booking system consider the following requirements:

Booking system to provide:

• Capacity to provide single and block bookings of our two premier playing surfaces
• Ability to book a full field and half field.
• Capacity to avoid double Bookings of turf surfaces
• Detailed reporting (weekly and monthly necessary)  - including cancellation reference
• Capacity to vary turf pricing structures - This will accommodate Hockey WA’s internal rates for state and national teams and external rates for schools and clubs
• Weekly reports and monthly reports need to be run for Invoicing purposes
• GI codes and booking reference must be able to be allocated to team/club/ state team bookings
• Compatible with Xero Accounting Package
• Staff training and support
• 24 hour support
• A 'read only' version of weekly turf booking by day, week, month to be available for clubs and schools
• An automated email and text confirmation of booking to be sent once booking is completed
• Capacity to print
• Compatibility with Microsoft devices

Ability for online booking system to accommodate other function rooms (Hockey WA has multiple venue rooms) is desirable but not a pre -requisite.
